Import Reports

The Import Reports page allows administrators to upload financial and metadata reports from various sources. These reports are typically in XLS or CSV format and are essential for tracking sales, revenue, and other key metrics. The system uses predefined mappings (configured in System Configurations > Distribution Reports Sheet Mapping) to parse these files correctly.


How to Use the Import Reports Page

  1. Select Report Type: Navigate to the specific import section (e.g., Music Distribution, YouTube MCN).
  2. Choose Provider (if applicable): For some reports, like Music Distribution, you may need to select the provider from whom the report originated. This ensures the correct sheet mapping is used.
  3. Select File: Click the “Choose file” button to select the XLS or CSV report file from your local system.
  4. Upload and Import: Click the Import button. The system will then:
    • Validate the file.
    • Use the corresponding Distribution Reports Sheet Mapping (if applicable) to understand the column structure.
    • Parse the data and import it into the relevant database tables.
    • Display the imported data in a table on the page for review.
  5. Review Imported Data: Check the displayed table to ensure data has been imported correctly. Use search and filter functionalities if needed.
  • Download Sample Report: For some import types, a sample report might be available for download. This helps ensure that the data you are trying to import matches the expected format and column naming conventions.

Note: It is crucial that the column names in your uploaded Excel/CSV file match what is defined in the Distribution Reports Sheet Mapping for the selected provider, or match the system’s expected default format if no specific mapping is used for that import type. Discrepancies can lead to import failures or incorrect data processing.

  • Search and Filter: Use the search functionality to find specific records within the imported data table displayed after a successful import.

Import Report Types

  1. Import Music Distribution XLS (/staff/import/distribution-reports-import)

    • Purpose: Upload music sales and streaming reports from distribution partners.
    • Process: Requires selecting the provider. The system uses the Distribution Reports Sheet Mapping for that provider to parse the file.
    • Output: Imported data populates tables like distribution_reports, which then feed into user balances and platform revenue calculations.
  2. Import Music Distribution Barcode (/staff/import/music-distribution-barcode)

    • Purpose: Bulk import or update barcode information associated with music releases.
    • Process: Likely follows a standard format for barcode and release identifiers.
  3. Import Rights Administration XLS (/staff/import/rights-administration)

    • Purpose: Upload reports related to rights administration, such as royalty statements or usage reports.
    • Process: May use a specific mapping or a standard system format.
  4. Import YouTube MCN XLS (/staff/import/youtube-mcn)

    • Purpose: Import financial or performance reports for channels managed under Distromotion’s YouTube MCN.
    • Process: May use a specific mapping or a standard system format.
    • Note: The provider list for selection might exclude providers for whom payments are outstanding, ensuring financial reconciliation before new data is added.

Successfully importing these reports is vital for maintaining accurate financial records, calculating user payouts, and understanding platform performance.
