Payouts

The Payouts page allows administrators to manage and monitor different types of payouts across the platform. It is divided into several sub-pages that focus on different aspects of payouts, including pending and accepted payouts, as well as balance management for both Music Distribution and YouTube MCN.

Common Table Fields

Many of the pages under the Payouts section share common fields for managing and tracking payout requests. These common fields are consistent across the pages and include the following:

  • ID: A unique identifier for each payout request or transaction.
  • Quote ID: The ID associated with the payment quote for the payout.
  • User Name: The name of the user associated with the payout request.
  • Amount: The total payout amount requested by the user.
  • Transfer Fees: Fees applied during the transaction.
  • Payout Request Date (Created): The original creation date of the payout request.
  • Payout Request Date (Last Updated): The most recent update date of the payout request.
  • Accepted: Indicates whether the payout has been accepted by the admin.
  • Flagged User: Indicates whether the user or payout request is flagged for review.

1. Music Distribution Payouts

The Music Distribution Payouts section focuses on payouts related to distributing music through the platform. This section contains both pending and accepted payouts.

In addition to the Common Fields, the Music Distribution payouts table has the following specific columns:

  • Transfer ID: : Shows transfer id of payment
  • Label: A descriptive label linked to the music distribution payout.
  • Artist: Indicates whether the user is an artist.

2. Pending Music Distribution Payouts

This page lists all pending payout requests related to Music Distribution that require administrative review or action.

In addition to the Common Table Fields, the Pending Music Distribution Payouts page includes:

  • Label: A custom label or identifier associated with the payout.
  • Artist: Indicates whether the user is associated as an artist.
  • Rejected: Shows whether the payout request has been rejected.

Actions

  • Regenerate Quote: It generates a new quote with the same specification (Recommended when the old quote expires), ** Wise expires a quote in 7 hours so if you don’t accept the quote within 7 hours, you would need to use this option **
  • Accept payout: This will initiate a transfer in your wise dashboard from where you can complete it
  • Reject Payout: This will reject the payout

3. Pending YouTube MCN Payouts

The Pending YouTube MCN Payouts page focuses on payouts from users who are part of the platform’s Multi-Channel Network (MCN) on YouTube. Administrators can review and manage pending payouts.

In addition to the Common Table Fields, the Pending YouTube MCN Payouts page includes:

  • Channel Name: The YouTube channel name associated with the payout request.
  • Rejected: Shows whether the payout request has been rejected.

Actions

  • Regenerate Quote: it generates a new quote with the same specification (Recommended when the old quote expires), ** Wise expires a quote in 7 hours so if you don’t accept the quote within 7 hours, you would need to use this option **
  • Accept payout: This will initiate a transfer in your wise dashboard from where you can complete it
  • Reject Payout: This will reject the payout

4. Accepted Music Distribution Payouts

This section displays all the Accepted Music Distribution Payouts, which have been successfully processed.

In addition to the Common Fields, the Accepted Music Distribution Payouts table includes the following specific fields:

  • Wise Transfer Fees: Fees applied during the transfer via Wise.
  • Transfer ID: Unique ID for the financial transfer associated with the payout.
  • Label: A custom label or identifier associated with the payout.
  • Artist: Indicates whether the user associated with the payout is an artist.
  • Invoice No: A unique invoice number generated for the payout.
  • Invoice: Allows administrators to Download the generated invoice for each payout.
  • Actions: Admin actions available for the payout, such as:
    • Copy Payout ID: Allows copying the unique payout ID.
    • **Regenerate Invoice: ** Option to regenerate the payout invoice.

5. Accepted YouTube MCN Payouts

The Accepted YouTube MCN Payouts page contains all successfully processed payouts for YouTube MCN users.

In addition to the Common Table Fields, the Accepted YouTube MCN Payouts table includes:

  • Channel Name: The YouTube channel name associated with the payout request.
  • Wise Transfer Fees: Fees applied during the transfer via Wise.
  • Transfer ID: Unique ID for the financial transaction associated with the payout.
  • Invoice No: A unique invoice number generated for the payout.
  • Invoice: Allows administrators to Download the generated invoice.

Actions

  • Copy Payout ID: Copy the unique payout ID.
  • Regenerate Invoice: Allows the admin to regenerate the payout invoice.

6. Music Distribution

The Music Distribution page provides an overall summary of all music-related payouts, including pending and accepted payments. It is the central hub for managing and reviewing payouts related to music distribution. The page features the Common Table Fields and allows sorting, filtering, and viewing payout details.


7. YouTube MCN

This page focuses on all payouts and activities related to the YouTube Multi-Channel Network (MCN). It includes summaries and detailed information about pending and completed payouts, revenue streams, and user balances linked to YouTube channels. The page features the Common Table Fields and additional fields for Channel Name.


8. Balance

The Balance page provides a comprehensive view of the platform’s financial status. It includes detailed information about the selected amounts, transfer commissions, and revenue from both Music Distribution and YouTube MCN. Administrators can also make manual adjustments to the balance using the Edit Admin Balance feature.

Overview

The top section of the Balance page displays the following key metrics:

  • Total Selected Amount: The total amount selected for payout or other actions.
  • Transfer Commission: The total amount earned from transfer commissions.
  • Music Distribution Commission: The amount earned from music distribution activities.
  • YouTube MCN Commission: The total revenue earned from YouTube MCN commissions.

Balance Table

The balance table below the summary metrics provides a breakdown of balance transactions with the following fields:

  • ID: Unique identifier for each transaction.
  • Created At: The date the transaction was created.
  • IN: Amount added to the balance (shown in green).
  • OUT: Amount deducted from the balance (shown in red).
  • Balance: The total balance after the transaction.
  • Source: The source of the transaction (e.g., YouTube MCN, music distribution, etc.).
  • Remark Any remarks or notes added to the transaction (e.g., penalties, corrections).

Edit Admin Balance

Administrators can adjust the balance manually using the Edit Admin Balance feature, which allows input of sources, remarks, and positive or negative amounts.

  1. Source Selection: Select the source of the balance adjustment. Available options include:

    • YouTube MCN
    • Music Distribution
    • Transfer Fees
    • Rights Administration
    • Remark
  2. Remark: Provide a reason or explanation for the adjustment (e.g., penalty, correction, etc.).

  3. Amount: Enter the amount to be added (positive) or subtracted (negative) from the balance.

Once all the details are entered, the administrator can click Submit to apply the changes.


9. User Balance

The User Balance page allows administrators to manage and track the balance of individual users, including viewing detailed transaction records and making manual balance adjustments through the Edit User Balance feature.

Overview

The page provides a list of users along with their balance-related details. Each user transaction is recorded in a table with the following columns:

  • ID: A unique identifier for each transaction.
  • Username: The username of the account associated with the transaction.
  • Email: The email address linked to the user’s account.
  • Created At: The date and time the transaction was created.
  • IN: The amount credited to the user’s balance (shown in green).
  • OUT: The amount debited from the user’s balance (shown in red).
  • Balance: The total balance of the user after the transaction.
  • Source: The source of the transaction (e.g., YouTube MCN, music distribution, rights administration, etc.).
  • Remark: Any notes or remarks associated with the transaction (e.g., penalties, corrections, etc.).

Edit User Balance

Administrators can manually adjust the balance of a user using the Edit User Balance feature, which allows input of user selection, remarks, and positive or negative amounts.

  1. User Selection: Administrators can select a user by their email from the dropdown list.

    • A search box is provided to quickly locate the desired user.
  2. Remark: A field for administrators to add a note or reason for the balance adjustment (e.g., penalties, fraud, manual corrections).

  3. Amount: The amount to be credited (positive) or debited (negative) from the user’s balance.

Once all the details are entered, clicking Save will apply the changes to the user’s balance.


Understanding the Payout Process (Behind the Scenes with Wise)

Our platform uses Wise (formerly TransferWise) to handle all international and multi-currency payouts to users. This integration allows us to manage payouts efficiently and compliantly across different countries and banking systems. Here’s a simplified overview of what happens when a user requests a payout and an admin processes it:

  1. User Adds Payout Account (via Wise):

    • When a user wants to set up their payout details for the first time, they select their desired currency.
    • Our system communicates with Wise to determine exactly what bank account information is needed for that specific currency and country (e.g., IBAN for Europe, ABA routing number for the US, etc.). This is dynamic, meaning Wise tells us what fields to show the user.
    • The user fills in their bank details directly into a form that is structured according to Wise’s requirements.
    • This information is securely sent to Wise, and Wise creates a “recipient account” for the user.
    • Our platform then stores a reference (a Wise account_id) to this Wise recipient account, rather than storing all the sensitive bank details directly in our main database.
  2. User Requests a Payout:

    • When a user has sufficient balance and requests a payout, they select one of their Wise-linked payout accounts.
    • Our system communicates with Wise to get a “quote” for the transfer. This quote locks in the exchange rate and calculates any applicable transfer fees for a short period (Wise quotes typically expire, e.g., within 7 hours).
    • This request then appears in the admin panel under “Pending Payouts.” The Quote ID you see is this Wise quote.
  3. Admin Processes a Pending Payout:

    • Review: You review the pending payout request.
    • Quote Expiry: If the Wise quote has expired (e.g., if the payout wasn’t approved within Wise’s timeframe, like 7 hours), you’ll need to use the “Regenerate Quote” action. This gets a fresh exchange rate and fee calculation from Wise.
    • Accept Payout: When you click “Accept Payout”:
      • Our system tells Wise to create a “transfer” using the user’s Wise account_id and the active Quote ID.
      • The system then instructs Wise to fund this transfer from our company’s main Wise business account balance.
      • Wise processes the payment to the user’s bank account.
      • Our platform records the Wise Transfer ID for tracking.
    • Reject Payout: If you reject the payout, the process stops, and the funds remain in the user’s platform balance.
  4. Tracking and Invoicing:

    • Once a transfer is initiated with Wise, its status can be tracked.
    • The “Invoice” you can download or regenerate is created by our system for record-keeping and for the user.

Key Wise Concepts for Admins:

  • Wise account_id: The identifier for a user’s bank details stored securely within Wise.
  • Quote ID (or quoteUuid): A temporary reference from Wise that locks in exchange rates and fees for a payout. These can expire.
  • Transfer ID: The reference for an actual payment instruction sent via Wise.
  • Funding from Balance: Payouts are typically funded from the company’s central Wise account balance.

This integration with Wise allows us to offer reliable global payouts while Wise handles the complexities of international banking regulations and currency conversions. Your role in approving payouts and managing quotes is a key part of this process.
